Ask five contractors what a cafe interior costs in Mumbai and you will get five different numbers, and none of them will mean much until you know what is actually included. We build cafes in our own unit in Powai, and the honest answer is that per-square-foot figures floating around online are close to useless on their own. What decides your number is a short list of choices you make before a single wall goes up. This piece walks through what actually drives cost and timeline, so you can read a quote and know whether it is realistic.
A 400 sq ft coffee bar with a service counter and no seating kitchen is a different project from a 1,200 sq ft full-service cafe with a working kitchen, exhaust system and 40 covers. Both get called "cafe interior design" in a Google search, and both will show up if you search for a per-sqft rate. Quoting one number across both is how budgets go wrong before construction even starts.
We do not publish a flat per-sqft rate for this reason, and we would be skeptical of anyone who does without first asking about your kitchen, your seating count and your site condition. What we can tell you, honestly, is what moves the number up or down.
Site condition first. A bare shell with no flooring, no wiring and no plumbing costs more to bring to opening-ready than a space that already had a working food outlet in it. Ask what the previous tenant left behind before you assume your shell is "ready."
Kitchen and equipment second, and usually the biggest single line item. A cafe with an espresso bar and a small pastry case costs a fraction of one running a full hot kitchen with exhaust, grease trap and fire suppression. This is where most first-time cafe owners underestimate.
Seating capacity third. More covers means more furniture, more finish area, and often a bigger HVAC load. It also changes your fire and occupancy compliance requirements, which affects both cost and how long approvals take.
Finish level fourth. Exposed concrete and open ceilings cost less than a fully clad, heavily detailed interior. Neither is wrong. The finish level should match your brand and your rent, not the other way round.
MEP and exhaust fifth. Electrical load for a coffee machine and grinder setup is modest. A full kitchen exhaust system, make-up air, and grease management add real cost and real approval time, especially in a mall or a residential-adjacent building where the society or management has its own rules.

It depends on scope, same as cost. A ready shell with light finishing work can move in a few weeks. A full kitchen build, with civil work, plumbing, exhaust and a detailed fit-out, takes longer. We confirm the exact number against your BOQ before work starts, because "it depends" is not useful to you when you are holding a lease with a rent-start date attached to it.
The sequence that matters is the same regardless of scope: site survey and BOQ freeze, then civil and MEP, then fabrication of counters and joinery (mostly done in our Powai facility so site time stays short), then installation, branding and signage, then a final compliance and handover check. Skip the BOQ freeze step, or start ordering equipment before it, and that is usually where a cafe opening slips by a month or more.
Every week your fit-out runs past plan is a week of rent on a space that is not earning. That is why we treat cost and timeline as one conversation, not two separate quotes from two separate teams. Landlords use these terms loosely, so confirm what you are actually getting before you budget anything. A bare shell usually means exposed structure only, no flooring, no ceiling, and services stopped at the meter room. A warm shell adds basic flooring, a finished ceiling and services brought to the unit boundary, which shaves real cost off your fit-out. Plug-and-play, mostly seen in food courts and some malls, can include shared exhaust infrastructure already run to your unit, which is one of the more expensive items to add later.

How much does a small coffee bar cost compared to a full-service cafe? A compact coffee bar without a hot kitchen is meaningfully cheaper, mainly because it skips exhaust, grease management and a large equipment list. A full-service cafe with 30 to 40 covers and a working kitchen sits well above that, and the range between the two is wide enough that any single number quoted without knowing your format is close to a guess.
Does a mall location cost more than a high street site? Usually yes, because malls carry their own fit-out compliance, timelines and sometimes shared-infrastructure charges. High street sites give you more control over pace but often need more done from scratch, since there is no mall-managed base build to lean on.
Can I phase the fit-out to spread the cost? Sometimes, mainly on finish level rather than kitchen or MEP. You cannot safely phase fire, electrical or exhaust work, but soft finishing and some branding elements can follow after opening if cash flow needs it. We will tell you honestly where phasing is possible and where it is not, project by project.
Ask what condition the shell is actually in, not what the listing says. Ask whether the building allows kitchen exhaust and what approvals that needs. Ask your fit-out partner for a BOQ, not a per-sqft estimate, before you commit to a rent-start date. These three questions will tell you more about your real budget than any number you find in a search result.
